We are planning to hold a session but we have also had discussions re: a
joint session with VRE IG. However, so far I have not received feedback on
VRE IG co-chair attendance. I have also been informed (but I have not been
able to confirm it so far) that groups involved in a joint session will not
be given an additional slot for an independent session. If we manage to
setup the joint session with VRE IG I would give that priority. Other
opinions?

Hi,
I have no major comments to the proposed session agenda. Also, a joint session with the VRE IG would be good, but we discussed that already. 2 comments:
1) How many people are we expecting in Botswana? Maybe we can at least do an inventory on this mailing list? I'm not coming at least.
2) Losing a separate session may not be vital for our (starting and still small) IG and the joint session can even be beneficial for us; the VRE IG however is already big and ongoing for a while. They may need their own session and are reluctant to give this away with that joint session. I'm not sure. You may need to consult Lesley Wyborne, also since Helen Glaves is not coming to Botswana either. Also, they may have issues with attendance as well.

I will not be in Botswana. There was a discussion at the RDA WG chairs meeting about the Plenary and the fact that joint sessions are being encouraged due to room limitations. I agree with Jacco’s comments. We should also look at other potential joint sessions.

joint session idea with her. @Jay, do you confirm that groups involved in
joint sessions won't be given a separate group session? I agree with Jacco,
if Lesley agrees on a joint session with OD2I I suggest prioritize that
over a separate group session. But I am open to hear other opinions, pros
and cons. I guess we can submit both and then see what happens / withdraw
later.

I think you can submit both and should do that. They may come back to you if there is an issue. A small separate session is valuable as there will be a different audience based on the meeting location and we should have some interesting and non traditional inputs. This is a global subject of broad importance.
